Most businesses have a cupboard with a couple of retired laptops in it. When the time comes to sell, donate or recycle them, the usual step is to delete the files, empty the recycle bin and hand the machine over. That is not enough.
Deleting a file does not remove the data
As HowToGeek explains, a normal delete only removes the filesystem’s reference to a file – the pointer that tells the computer where the file sits on the drive. The data itself stays where it is until something else happens to overwrite it. That is why deleting is instant. It is also why recovery software can often pull information back out of space the operating system considers free.
For a business, that leftover data is the problem. A retired machine can still hold client records, quotes and invoices, tax paperwork, email archives and passwords saved in a browser profile, long after the files looked gone. Anyone who buys that laptop secondhand gets all of it.
What to do instead
The reliable approach is to overwrite the whole drive rather than tidy up individual files. Purpose-built tools such as ShreadOS exist for exactly this job, and Windows and macOS both include a full reset option that erases the drive as part of the process.
A short checklist that covers most small businesses:
- Sign out of accounts and remove the device from Microsoft 365 or Google Workspace before you wipe it.
- Confirm anything you still need has been backed up somewhere else first.
- Erase the whole drive, not just the user folder.
- Turn on full-disk encryption on machines you still use, so a lost or stolen laptop is a much smaller problem.
- Keep a short record of which machine went where, and when it was wiped.
If a drive has failed and cannot be wiped, have it physically destroyed rather than putting it in the bin and hoping.
